Kelloi privacy policy
What data is collected
We collect and save any data that is explicitely given by you in sites with address https://www.kelloi.com or https://app.kelloi.com or any other secured site under kelloi.com domain. This includes your name, email, organization name and data related to the service, for instance working hours, vacation days et cetera.
In addition, we might collect anonymized data that can not be connected to any specific user.
Your password is always transferred over a protected connection and saved in a hashed format together with a salt.
We partner with Stripe to process payments for our services. When you give your payment details on any kelloi.com site or when you are redirected to a site hosted by Stripe to manage your payment details, your full payment details are never sent to Kelloi servers. Kelloi might save your billing name, billing email, credit card expiration date and the last four digits of your credit card. Your full credit card number is not sent to Kelloi, and is entirely handled by Stripe.
Where is your data saved?
Your data is saved in a data center located in Frankfurt, which is offered by DigitalOcean. We reserve rights to use other server locations in the future without further notice but the data will always be stored on a server in the European Union.
Your data can be saved temporarily on computers of our developers if we need to take a copy of the data in order to fix bugs, implement new features or perform tests in development environment. Such copies are always temporary and are deleted after they are no longer needed.
What is your data used for?
Your data is used to provide the service and to contact you if needed. We can take a temporary copy of your data and use it to test bug fixes and new features as part of the development.
Automatically collected, statistical data of how you and other users use the site can be used to improve Kelloi. Such data is always anonymized and it is not possible to identify a user from such data. For example, we could produce a report of how many time entries per day users save on average and use that data for any purpose. We will not share personal data with third parties (except payment processor Stripe, but to be exact, they actually share the data with us rather than other way around).
Your email address can be used for resetting your password, to inform you about changes in these terms and to send notifications that are part of the service.
Who can access your data?
Kelloi-developers and support can access your data. Admin users of your organization can access your data. Your admins can also export data in a CSV format that includes your name and time entries you have saved. Obviously, we don't have control over what happens to those files after the admin has downloaded them, but we hope they are responsible!
Third parties
We will never sell your personal data. Some third parties might get access to some of your data when we use their services to provide ours. We collected all such cases that we could come up with here, but software is complicated, so there could be some other similar occasions that will be built in the future.
- Your payment information is handled by Stripe, according to their privacy policy.
- Our email communication with you can be saved by the mail-providers we use. For instance, when you request a password-reset link, the email-provider can save the email including your name and your email address.
- If you send a message through the Feedback button, we receive an email that includes your name and email. That email is saved in the email program we use (currently Gmail).
